What happens when you contact us

Most people get in touch because something specific broke. The close is three weeks late, the bookkeeper gave notice, payroll runs in four states and nobody owns the filings, or a lender wants clean statements by the 15th. Here is what happens after you call or write.

  1. Discovery call, about 30 minutes

    We schedule it within one business day. You walk us through what you run on, how many entities you carry, and what is actually going wrong. We ask about your close calendar, your payroll footprint, your AP approval process, and who touches the bank. No preparation required on your side and no slide deck on ours.

  2. Scoping review of your current books

    If you are comfortable, you give us read-only access to your QuickBooks Online, Xero, NetSuite or Sage Intacct file. If you would rather not open access yet, send a recent trial balance, a bank reconciliation report, and an AP and AR aging. We look at the chart of accounts, undeposited funds, unreconciled items older than 60 days, uncategorized expense buckets, and whether recent months actually tie to the bank. This is the step that turns a quote into a real number.

  3. Written quote and scope document

    You get a written scope in plain English within two to three business days. It lists every deliverable and its cadence: bank feed categorization and clearing, weekly AP runs through Bill.com, semimonthly payroll processing in Gusto, ADP or Paychex, monthly close with reconciliations and a financial package, quarterly Form 941 support, and annual 1099-NEC and W-2 preparation. It states a fixed monthly fee, a separate one-time cleanup fee if your books need catch-up work, and the date we can start.

  4. You decide, with no obligation

    If the scope is wrong, tell us and we revise it. If the timing is wrong, the quote stays open until you come back. If you move forward, we send a 30 day onboarding plan: access and permissions in week one, a parallel close in week two, a documented process narrative in week three, and your first full close under our team at the next month-end.

Before You Share Files

How your information is handled during scoping

You do not have to open your books to get a useful first conversation. When you do share, this is what happens to the access and the files.

  • Read-only access, nothing elseDuring scoping we ask for view only access to your accounting file. We do not post entries, change the chart of accounts, or touch bank connections until you sign a scope and tell us to start.
  • Exports work just as wellIf you would rather not add a user, a trial balance, a balance sheet, a P&L, and an AP and AR aging cover most of what we need. PDF or Excel is fine.
  • Access ends when scoping endsIf you decide not to move forward, say so and we remove our user from your file and close the review. You keep the written scope document either way.
  • A mutual NDA on requestWe will sign your nondisclosure agreement, or send ours, before you share anything. Ask on the first call and it is in place before any files move.
Before The Call

What to have ready for a productive first call

None of this is required. Bring what you have. The more of it you can answer, the closer the first quote lands to the final one.

  • Your accounting software and versionQuickBooks Online, QuickBooks Desktop, Xero, NetSuite or Sage Intacct, plus anything connected to it such as Bill.com, Expensify, Ramp, Gusto, ADP or Paychex. If you are running on spreadsheets, that is a real answer too.
  • How many legal entities you carryCount each LLC, S corporation, C corporation, partnership or nonprofit. Note whether you consolidate, whether intercompany transfers happen, and whether any entity has a different fiscal year end.
  • Bank and credit card accountsHow many operating accounts, savings accounts, merchant accounts and company cards feed the books. Flag which ones have working live feeds and the date of the last completed reconciliation on each.
  • Monthly transaction volumeA rough count of bank and card lines per month, vendor bills entered, and customer invoices issued. Volume drives the fee far more than revenue does, so an honest estimate serves you better than a flattering one.
  • Payroll headcount and statesHow many W-2 employees and how many 1099-NEC contractors, the states they work in, your pay frequency, and who files Form 941, Form 940 and state unemployment returns today.
  • Sales tax and nexus exposureStates where you collect and remit, your filing frequencies, and any state where you suspect economic nexus but have not registered. Marketplace sellers should note which platforms collect on their behalf.
  • Basis of accounting and who reads the reportsCash or accrual, whether you need US GAAP accrual statements for a lender, a board or an investor, and whether anyone outside the company reviews your monthly package.
  • Your current close calendarWhat day the books close now, what day you want them closed, and what usually causes the delay. Late vendor bills, unreconciled credit cards and inventory counts are the usual three.
  • What is working and what is notBe blunt. The AP inbox nobody owns, the controller doing data entry at night, the balance sheet account nobody can explain. We scope faster when we hear the real problem first.

Before you reach out

Is the consultation actually free?

Yes. The discovery call, the scoping review of your current file, and the written quote cost nothing and carry no obligation. You keep the scope document whether or not you hire us. Nothing moves until you say so.

Do I have to change accounting software?

No. We work inside the system you already use, including QuickBooks Online, QuickBooks Desktop, Xero, NetSuite and Sage Intacct. If your current setup is genuinely holding you back we will say so and price a migration separately. Switching software is never a condition of working together.

What will it cost?

Pricing is a fixed monthly fee driven by transaction volume, entity count, payroll headcount and the deliverables in scope, never a percentage of revenue. Most clients run their back office for 40-60% less than a comparable in-house team once salary, payroll taxes, benefits, software seats and turnover are counted. You see the number in writing before you commit.

How fast can you start?

Typical onboarding runs 30 days from signed scope to your first full close under our team. Urgent situations move faster. If your bookkeeper walked out this week or a lender needs statements in ten days, say that on the first call and we will tell you honestly whether the date is reachable.

My books are months behind. Is that a problem?

It is common and it is fixable. Catch-up work is quoted separately as a one-time project with a defined end date, covering bank and credit card reconciliations, cleanup of uncategorized and suspense accounts, AP and AR rebuilds, and a corrected trial balance for every open period. Ongoing service begins once the backlog is current.

Who will I actually work with?

You get an account lead who runs your close and answers your email, supported by preparers and a reviewer who signs off before anything reaches you. You are not routed to whoever happens to be free. Communication runs on a cadence you set, weekly or monthly.
