Essentials
Core bookkeeping and a monthly close for a single entity. Categorized bank and credit card feeds, monthly reconciliations, accrual or cash basis books maintained to US GAAP, adjusting journal entries, and a close package with balance sheet, income statement and statement of cash flows delivered on a fixed calendar date. Vendor W-9 tracking and year-end 1099-NEC preparation are included, so your CPA gets books that need no rebuild at tax time.

A published price would be wrong for almost everyone who reads it. A twelve-location restaurant group running 3,000 transactions a month with payroll in four states is a different job from a two-person design studio with one checking account. Same industry, ten times the work. So we quote after we look at your actual volume, your account count and your close calendar.
Ongoing engagements are a flat monthly fee, agreed in writing before any work starts and billed on the first of the month. Hourly billing applies only to defined projects such as a prior-year cleanup, a QuickBooks Desktop to QuickBooks Online conversion, or audit and review support, and those are quoted as a fixed scope with a not-to-exceed amount. No surprise invoices, and no timer running while you ask a question about your own numbers.
Engagements continue month to month with 30 days written notice on either side. If your volume changes materially, we reprice at your request or at the annual review, and we will tell you when a smaller scope would serve you better.

What actually drives your price
These are the seven things we measure before we put a number in front of you. Nothing else moves the fee.
- Transaction volumeThe number of bank, credit card and payment processor lines we categorize and reconcile each month. This is the single biggest driver. A Square or Stripe feed with thousands of settlements is a heavier file than a business that writes forty checks.
- Number of bank and card accountsEvery account is its own feed to monitor, its own reconciliation and its own statement to chase down. Five accounts cost more than one even at identical dollar volume.
- Entities and locationsEach legal entity needs its own trial balance and its own close. Intercompany activity, eliminations, location-level profit and loss reporting and separate tax profiles add work on top of the base close.
- Payroll headcount and statesPay frequency, worker classification, contractor mix and the number of states you are registered in. Each state carries its own withholding and unemployment account, filing calendar and rate changes, so state count moves the fee more than headcount does.
- AP and AR volumeBills entered and routed for approval, check and ACH runs, W-9 collection and 1099-NEC issuance on the payables side. Invoices produced, payments applied and aging worked on the receivables side.
- Close complexityAccruals and prepaids, deferred revenue, inventory and cost of goods sold, job costing, fixed assets and depreciation schedules, and how many supporting schedules have to tie before financials are released.
- Cleanup backlogIf the books are months behind, misclassified, or still sitting in a folder of unopened statements, the catch-up is quoted as a separate one-time project. That keeps your ongoing monthly fee priced for a clean file instead of for the backlog.
Always included in the monthly fee
These are not upsells. They are how the work gets done correctly, so they sit inside the price on every engagement.
- Onboarding and transitionChart of accounts review, historical data import, opening balance verification, bank and card feed connections, software access setup and a documented cutover plan. You are not billed for the time it takes us to learn your business.
- Written procedures for your accountWe document how your close runs, who approves what, which reports go where and on which calendar date. The documentation belongs to you. If you ever bring the work back in-house, you keep the playbook.
- A named point of contactOne person who knows your file, answers your email and joins your calls, with a named backup who also knows the file. Not a ticket queue, and not a different name every month.
- US business hours coverageQuestions answered during your working day, with scheduled overlap across US time zones and defined backup coverage, so your close never waits on one person's calendar.
- Routine questions and reportingCalls and emails about your numbers, your monthly financial package, AP and AR aging reports and the year-end handoff to your CPA are part of the fee, not billable events.

Scoping review of your file
With your permission we take a read-only look at your general ledger, chart of accounts, last closed month and open AP and AR aging, so the quote is built on your real data instead of a guess.

Written proposal and start date
You receive a flat monthly fee, a line-by-line list of what is included, named deliverables with due dates, a separate fixed quote for any cleanup, and a proposed start date. If we are not the right fit, we say so and tell you what to look for instead.
Pricing questions we hear most
Why will you not publish a starting price?
Because two companies with identical revenue can differ tenfold in transaction volume, account count and close complexity. A published number would overcharge the simple files and underquote the hard ones, and underquoted engagements are the ones that fall apart in month three. Your fee is built from your own data and locked in writing before work begins.
What happens if my books are badly behind?
That is common and it is fixable. Cleanup is scoped as a separate fixed-price project with its own timeline. We tell you up front how many months we need to rebuild, which accounts need reconstruction and what your CPA will receive at the end. Your ongoing monthly fee is then priced for a clean file.
How much should we expect to save versus hiring in-house?
Compare the full cost of an in-house seat, not the base wage. Salary, employer payroll taxes, benefits, software licenses, training, paid time off coverage, recruiting and turnover all belong in the number. Most clients run their back office for 40% to 60% less than a comparable in-house team. We will build that comparison with your own figures during the consultation.
Can we start small and add services later?
Yes. The usual sequence is to start at Essentials, stabilize the monthly close, then add AP, then add payroll once the approval workflow is settled. Repricing takes effect at the start of the following month, with the new scope confirmed in writing before it begins.
Do you work with CPA firms, and is pricing different?
Yes. We provide overflow bookkeeping, monthly close support and 1099 season capacity under your firm's brand, following your engagement standards and your review process. Firm work is quoted per client file or as a block of dedicated hours, whichever fits how you bill your own clients.
